It's August. In about a month, everything starts at once: kids ministry, small groups, the fall series, the volunteer rotation you meant to rebuild over the summer.

What a church planning calendar actually is

Not a wall calendar. A working document that answers four questions for the next twelve months:

What are we preaching and when? Series blocks, guest speakers, and the seasons (Advent, Lent, Easter) that anchor everything else.

What events are we committing to? The major events: VBS, retreats, outreach events, business meetings. Put them down first, before the calendar fills itself.

Who is serving and when do they rotate? Worship teams, kids check-in, hospitality. Planned rotations survive; improvised ones burn people out.

What deadlines will bite us if we forget? Budget season, insurance renewals, volunteer screening renewals, and charity filings.

The four-step annual planning process

Step 1: Block the immovable dates (one hour). Start with the dates you don't control. For the 2026-2027 ministry year:

Christmas on a Friday matters this year: decide now whether you're holding a December 24 Christmas Eve service, a Christmas Day service, or both, and what Sunday December 27 looks like.

Planning outside the US and Canada? The liturgical dates above are global; the family days move. Mexico celebrates Mother's Day on a fixed May 10 (a Monday in 2027, so most churches mark it Sunday May 9). The UK keeps Mothering Sunday on March 7, 2027 (the fourth Sunday of Lent). Australia and New Zealand hold Father's Day on September 5, 2027. Reformation Sunday (October 25, 2026) and All Saints' Day (November 1, 2026) matter to many European and Latin American congregations, and Watch Night services on December 31 are common across traditions. Add whichever ones your church actually keeps; the point of the calendar is your year, not a generic one.

Step 2: Place the major events (one meeting). VBS week, fall kickoff Sunday, the missions emphasis month, the annual business meeting. These go on the calendar before anyone books anything else. Rule of thumb: if it needs more than four volunteers or the whole building, it's a major event.

Step 3: Sketch series and rotations (one afternoon). You don't need 52 sermon titles. You need series blocks ("January-February: prayer series, 6 weeks") and a volunteer rotation pattern per team. Specifics fill in monthly.

Step 4: Review monthly, adjust quarterly. The calendar is a living document. A 20-minute look at the next 8 weeks in your monthly leadership meeting keeps it honest. Quarterly, look a full season ahead.
